Medical Spa Coordinator
Healthy Complexions Spa by Western New York Dermatology is rapidly expanding, and we are seeking a dependable individual with the ability to multitask and provide exceptional customer service for our full-time Medical Spa Coordinator Position. Prior experience is a plus, but we will train the right person. This position is full-time – 40 hours per week – which includes some Saturdays, and some flexibility in your work schedule.
Responsibilities

- Schedule management, phone triage, customer service, retail sales, and support to spa providers and management
- Manage incoming and outgoing calls, texts, emails, and social media messages
- Interact with clients in a friendly and professional manner
- Knowledge of all treatments with a basic understanding of each service and its pre/post care (training provided)
- Knowledge of promotions and events
- Ensure intake and consent forms are completed, signed, and updated at each visit
- Collect outstanding balances and payments
- Close new client inquiries by scheduling a consultation
- Assist with local and off-site marketing and events
- Assist with advertising and marketing in-office and on social media platforms
- Confirm appointments when necessary and follow up where needed
- Inventory and order products
- Scan and file documents
- Uphold cleanliness of the front area and lounge
- Assist with other various tasks in the office when requested by management
Qualifications
- Ability to multi-task, use personal judgment, and utilize strong decision-making, analytical, and follow-up skills
- Proficient with computers and software applications
- Engaging interpersonal and communications skills with a strong ability to influence and build rapport with clients
- Strong guest service orientation
- Rapid learner with the ability to grasp concepts and protocols

- Candidate must be able to handle a busy environment in a calm and professional manner

Licensed Massage Therapist
Healthy Complexions Spa by Western New York Dermatology is rapidly expanding, and we are looking for a motivated Licensed Massage Therapist to join our team of professionals, effective immediately. A perfect place to transition existing clients or begin building a new clientele. We are currently looking for someone part time. This position may include evenings and weekends.
Responsibilities
Licensed Massage Therapist Duties and Responsibilities:
- Provide 30-, 60-, and 90-minute massages for appointments and walk-ins
- Guide clients through our service offerings and help them choose the types of massages that would benefit them most
- Notate detailed histories from clients, including information about any injuries or conditions
- Customize sessions around clients’ specific complaints or problem areas
- Listen to clients during massages and adjust technique to meet their needs
- Recommend massage schedules for recurring sessions
- Travel to outside promotions to deliver on-site chair massages for advertising and building clientele
- Cross-promote. Recommend any additional spa/laser services that may benefit the client
Licensed Massage Therapist Qualifications:
- Current and valid state license for massage therapy
- 1+ years’ experience as a professional Licensed Massage Therapist
- Communication skills
- Excellent customer service and sales skills
- Motivated to build clientele
- Reliable transportation required

It’s a perfect way to enhance your college education and build your social media skills while demonstrating your marketing capabilities to an engaged audience. We are currently looking for someone part-time and are offering flexible scheduling. While this position is unpaid, it could potentially lead to a paid opportunity.
Responsibilities
Social Media Intern Responsibilities:
- Assist with the design and execution of social media content (specifically, Instagram Reels and TikTok’s)
- Create weekly and monthly content calendars that align with spa specials, promotions, and events
- Track social media engagement to identify high-performing ideas and campaigns for scalability
- Support marketing team in larger marketing strategy
- Assist on influencer campaign strategy
- Respond to comments and DMs on social media platforms
- Brainstorm and research ideas for original content
